Changing your business email provider feels risky. Email is the lifeblood of most companies, and the thought of losing messages, or being offline during a busy week, is enough to put anyone off. But with a clear checklist, email migration is one of the safest IT projects you can run.
Here is the process we follow to move a business without losing a single email.
Before you start
- Confirm where your email is now and where it is going (for example, from an old host to Microsoft 365 or Google Workspace).
- Make a list of every mailbox, alias, and shared inbox.
- Check how much data each mailbox holds so you can plan timing.
- Tell your team what is happening and when, surprises cause panic.
Step 1: Set up the new environment
Create the new accounts and verify your domain on the new platform first. Nothing is switched over yet, this just gets the destination ready and tested.
Step 2: Copy the mail across
Using proper migration tools, copy existing emails, contacts, and calendars into the new mailboxes while the old system stays live. Because you are copying rather than moving, there is no risk to the originals.
Step 3: Switch the mail flow
Once everything is copied and checked, you update your domain settings (the MX records) so new mail starts arriving in the new mailboxes. This is the actual "go live" moment, and it is quick.
Step 4: Do a final sync
Catch any last messages that landed on the old system during the switch, so nothing slips through the gap. Then set up each person's email on their computer and phone.
Step 5: Keep the old system briefly
Leave the old mailboxes in place for a short while as a safety net before shutting them down for good. Once everyone confirms all is well, you can retire it.
